  • Regular 1-1’s with CEO to agree priorities and actions
  • Take notes in selective meetings, issue minutes, following up on action points
  • Prepare and/or proof-read internal and external communications and presentations
  • Expense reporting
  • Create daily reports KPIS/Dashboard
  • Assist Division leadership team and other Company partners when required
  • Schedules and maintains multiple calendars of appointments and meetings.
  • Coordinate travel itineraries and process expenses.
  • Responds to questions and requests and researches information. Talks to a variety of customers on issues which are complex or of a confidential nature. Involves appropriate associates from other departments or divisions to resolve issues. May provide functional mentorship and training to other associates within the Division.
  • Analyses operating practices and builds/revises systems and procedures as vital.
  • Prioritizes and maintains files, record keeping systems, and office layout.
  • Lead all aspects of and supervise administrative projects. Performs other duties as the need arises or advises.
  • Printing & disseminating significant number of Reports on a timely basis

  • Manages and administers all talent review documents and spreadsheets
  • Manages and tracks the departmental budget
  • Supports all meetings and sessions held in the home office
  • Support training and conferences with prep and logistics needs
  • Organizes and manages complex records, proposals, measurements of progress, and information. Design systems in Excel for tracking information on budgets, expenses and supplying up-to-date information as needed. Graphs or charts information for presentations.
  • Creates and maintains business correspondence, business plans, strategy,charts, graphs, policies and procedures. Interprets, analyzes and reviews for logic and accuracy. Writes and designs elaborate PowerPoint slide presentations for internal and external meetings.
  • Provides administrative support including complex strategic financial and business matters such as presentations, drafting and document control of business contracts, strategic proposals and financial presentations.
  • Makes travel and accommodation arrangements including preparing and submitting expense reports.
  • Coordinates appointments and staff meetings; and coordinates professional meetings as needed. Serves as point of contact for meeting communications and for assuring the appropriate people participate.
  • Refers matters to appropriate parties at all levels of the organization for action and follow-up to ensure proper disposition.

  • All other duties and tasks as necessary


  • 3-5 years of experience supporting an executive preferred
  • Exceedingly organized and detail oriented with a high degree of accuracy
  • Ability to work independently, prioritize workload and focus on delivery
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail Proficiency in MS Office Suite (Word, Excel, PowerPoint)
  • Polite telephone and personal manner
  • Strong written and verbal communication skills
  • Demonstrates a high level of integrity and professionalism
  • Ability to work outside of standard office hours when needed
  • Must be confidential and discreet at all times
  • Energetic outlook and able to stay focused in a fast-paced environment
  • Strong analytical skills
  • Bachelor’s degree preferred
  • Must be bilingual spanish or portuguese and fluent in english
  • Must have the ability to work extended hours as needed without much advance notice.
  • Prior project management is a plus
  • Technology savvy
  • BI Certification
  • Must work US schedule (eastern time)
